Inbox Zero, My Ass

Four days without answering e-mails (no internet access out at the tanker) and there's a THOUSAND of the bloody things waiting for me? Gahh. Merlin Mann, save me now ...

Depending on what email client you use I've had good experiences with ClearContext (http://www.clearcontext.com/ Outlook/Windows only) in managing lots of work emails.

If you are a web guy, then on GMail I don't even bother trying to manage email - I just let it sit there in the inbox and use search to find what I need (may tag a few items, but that's an exception).

See, people can like both MSFT and GOOG :)

It allows me to just use my browser's bookmarks as a way to collect all my web research links for each project I'm on and share that between computers, plus have a web-based backup.

NovaMind or MindManager for mind mapping.
Makes collecting, organizing and outputting data much more easy/sensible/comprehensible.
Significant numbers of screenwriters use NovaMind, from what I can see. Novelists appear to have a slight preference for MindManager. Neither is perfectly bug-free for Macintosh, both work better in Windows.

I haven't even gotten done Getting Things Done, but I strongly recommend moving everything in your inbox into a DMZ folder once you've done the items that call out for immediate response. Everything else can just sit there until you need it.

I know this sounds counter intuitive, but the best productivity software for me is one that makes me take breaks. I have mine set so I work 55 minutes, then I take 5 minutes off. The game I play with myself is that I can't sit during those 5 minutes. By taking those breaks every 5 minutes I am more productive, can work longer, harder, and I feel better by the end of the day.

In addition to a to-do list, I keep a "done" list on my computer where I record what I got done each day. It gives me a boost when I'm feeling overwhelmed by all the stuff I still need to do -- plus it's useful if I need to jog my memory about a project I've been working on.

I recently got Things for my computer and iPod Touch and gotta say It's pretty nice. A great way to keep things organized in different ways. I love being able to sync Things on both devices, since I will often add stuff away from home. Anyway, that's my suggestion.

LOVE dropbox.

Xmarks is a pretty sweet firefox extension??? Keeps bookmarks and passwords in sync.

Tera Term is a nice Terminal program, but more importantly the install bundles an app called Collector. This thing rules and lets you combine applications into tabs. I use it so i can open multiple explorer windows but they are all grouped and tabbed.

Read it Later, an addon for Firefox. Quick, temporary bookmarks, if you want to just save the page and read it a bit later. Also it makes it easier psychologically if you have trouble managing your surfing time - just click and save the page; you'll read it when you have more free time.

You could take the "landfill" approach. Essentially you just let your email get so full of whatever emails you get. Then when you have had enough, move on to a new email.

Oh, and one more thing. Sorry to sound like a nagging fan, I'd heard something about you writing a fatal frame movie years ago. Is that still going? (Please say yes...)

Anyways, looking forward to fun blog postings here.

If you use Gmail, I suggest never looking at your INBOX unless you have time to burn. Instead build filters that apply tags and only read based on tags. For example, you might filter on everything that has "canceled unless" in the subject and put that in the "important shit" label. Also add that label to messages from obama@whitehouse.gov and your mom. Now you just read the "important shit," but everything's still in your INBOX. If you go look at your INBOX you see all of the things you've been ignoring and the important things you already know about. No more "it's lost in a folder somewhere" syndrome.
